← knowcore.appKnowCore Terms of Service
Effective date: June 6, 2026 Last updated: September 18, 2026
These Terms of Service ("Terms") are a binding agreement between Greg Bolewitz, doing business as KnowCore ("KnowCore," "we," "us") and the church or organization that registers for the Service ("Customer," "you"). By creating an account, accepting an invitation to an account, or using the Service, you agree to these Terms and to our Privacy Policy (https://knowcore.app/privacy).
1. Who these Terms cover
The Service is used by several kinds of people, and each has a part in these Terms:
- Customer. The church or organization that holds the account. The Customer is bound by these Terms and is responsible for everyone who uses the Service under its account.
- Administrators. People the Customer invites to run its account (any role in the admin console, including delegated or ministry-scoped access). The person who creates the account represents that they are authorized to bind the Customer. Administrators act on the Customer's behalf, must follow the Customer's instructions and policies, and must not use the account against the Customer's interests.
- Members and attendees. People the Customer serves who use the member-facing pages (check-in, the member hub at the Customer's KnowCore address, prayer wall, needs board, meal trains, reading plans, sermon notes, "My Team," and similar features). Members use those pages under the Customer's direction and must follow the Customer's policies and the acceptable-use rules in Section 4. Members are not parties to the Customer's subscription.
2. The Service
KnowCore provides software for church check-in and attendance, people management, discipleship and growth tools, ministry depth charts, pastoral care, prayer, community needs, member engagement, and related features (the "Service"), as described at knowcore.app. We may add, change, or retire features over time (see Section 20).
3. Accounts, eligibility, and responsibilities
- Accurate information. You must provide accurate registration and billing information and keep it current, including a working email address for the account owner.
- Credentials. You are responsible for keeping credentials secure and for all activity under your account, including activity by your administrators and members. Tell us promptly at the contact in Section 23 if you suspect unauthorized access.
- One organization, one account. A single organization may not hold multiple free or trial accounts. Accounts must be created by people, not by automated means.
- Age. Administrators must be at least 18. Member-facing features are intended for adults and for minors acting under a parent's or guardian's supervision and the Customer's policies. Information about minors is handled by the Customer as described in Section 6.
- Previously terminated accounts. You may not use the Service if we have previously terminated your account for breach of these Terms.
- Customer responsibility for others. The Customer is responsible for obtaining the rights, permissions, and consents needed to enter information about its administrators, members, attendees, and children into the Service, and for any dispute with those people about that information.
4. Permitted purpose and acceptable use
Permitted purpose. The Service is provided to organize, run, and participate in the programs and ministry of a church or similar non-profit or religious organization. Use for any other purpose requires our written agreement.
You agree not to, and not to let anyone under your account:
- use the Service unlawfully, to violate anyone's rights, or in breach of any applicable law, including privacy, anti-spam, and telemarketing laws;
- upload malicious code, probe or attempt to gain unauthorized access to the Service or another organization's data, or interfere with or disrupt the Service;
- harass, stalk, threaten, or impersonate anyone, or register under a false identity;
- use the Service to mislead people about who you are, including by choosing a KnowCore address (subdomain), church name, or branding that imitates another organization or infringes anyone's trademark;
- send messages (email or text) to people who have not consented to receive them, or send spam, unsolicited commercial content, or content that violates carrier or anti-spam rules;
- scrape, crawl, or bulk-extract data from the Service other than through features we provide for export, or access the Service to build a competing product;
- copy, modify, reverse engineer, or decompile the Service, or remove proprietary notices;
- use the Service, its content, or its output to train or improve any machine-learning or generative AI model;
- resell, sublicense, or provide the Service to anyone other than your own administrators, members, and attendees;
- post or transmit content that is sexually explicit, that exploits or endangers a child, that glorifies violence or hatred, or that is otherwise unlawful; or
- post images of children without the consent of a parent or guardian.
Sensitive data. The Service is not designed to hold, and you agree not to enter: government identification numbers (such as Social Security numbers or driver's license numbers); payment card, bank account, or other financial account numbers; or medical records beyond the pastoral, allergy, or emergency notes reasonably needed to serve someone. Volunteer background-check status recorded through a supported screening integration or the Service's clearance features (Section 6) is permitted. Prayer requests, care notes, and similar pastoral content are permitted and are protected as described in the Privacy Policy.
Members' content. You are responsible for content that you and your members submit through the Service, and for reviewing member-submitted content before it is published to your community where the Service gives you that control.
5. Customer Data, ownership, and our role
- Your data is yours. As between the parties, you own all data you and your members submit to or generate in the Service ("Customer Data"). We claim no ownership of it.
- License to us. You grant KnowCore a limited, non-exclusive, worldwide license to host, store, copy, process, transmit, and display Customer Data solely to provide, secure, support, and improve the Service for you, and as otherwise permitted by the Privacy Policy. This license ends when your Customer Data is deleted, except for backups and records we are required to keep (Section 13).
- Your warranties. You represent that Customer Data does not infringe anyone's rights, that you have the rights and consents needed to submit it, and that it complies with these Terms.
- Our role. For personal information within Customer Data, we act as a processor (under the GDPR and similar laws) and a service provider (under the California Consumer Privacy Act and similar U.S. state laws) on your behalf, and we use it only to provide the Service as described in the Privacy Policy and the Data Processing Agreement (Section 6). We do not sell personal information.
- Aggregate data. We may create and use de-identified, aggregated data derived from use of the Service (for example, feature-usage statistics) that does not identify you or any person, to operate and improve the Service.
6. Privacy, data processing, member and minor data
Privacy Policy and DPA. Our handling of personal information is described in the Privacy Policy (https://knowcore.app/privacy). Where the EU or UK GDPR or a similar law applies, the Data Processing Agreement (https://knowcore.app/dpa) applies and is incorporated by reference. You are the data controller for your members' and attendees' information.
Your responsibilities. You are responsible for: (a) having a lawful basis and any required consents to collect and process members' and attendees' information through the Service; (b) providing any privacy notices your members are entitled to; (c) obtaining verifiable parental or guardian consent for minors as required by law, including the Children's Online Privacy Protection Act (COPPA) where applicable; and (d) responding to your members' privacy requests. KnowCore will assist you in fulfilling verified access and deletion requests, and the Service provides tools for individual erasure and account deletion.
Volunteer clearance / safeguarding records. If you use the Service to record volunteer clearances (such as background checks, child-safety training, or other required credentials), whether entered in the Service or synced from a supported screening integration, you are responsible for doing so in compliance with applicable law and your own policies, including any legal obligation to retain proof that people serving in sensitive roles were screened. To support that obligation, clearance records and any documents you upload are retained as your compliance records even when you erase an individual member — they are archived to your church's clearance records rather than deleted, and are removed when you delete your entire account or on your specific instruction. You remain the controller of this data and are responsible for its lawful retention and eventual deletion.
7. Text messaging and email
- Verification codes. The Service may send one-time verification codes by SMS or email so a member can sign in to member-facing pages. Message and data rates may apply. A member who requests a code consents to receive it.
- Church-to-member messaging. If you connect a text-messaging provider (for example Clearstream) or use the Service's email features to contact your members, you are the sender. You are responsible for obtaining each recipient's prior express consent as required by the Telephone Consumer Protection Act, CAN-SPAM, carrier rules, and any other applicable law; for honoring opt-outs (including "STOP" replies and unsubscribe links) promptly; and for the content of your messages. Your use of a messaging provider is governed by that provider's own terms and fees.
- Our messages to you. We may email administrators about the Service, including security, billing, product changes, onboarding, and similar notices (see Section 19).
8. AI-assisted features
Some features use artificial intelligence, including natural-language questions over your member data ("Insights"), the in-app help assistant, drafting aids (for example, position descriptions, growth plans, and suggested resources in the depth chart), and automated screening of member-submitted content.
- Output may be wrong. AI output can be inaccurate, incomplete, or out of date. It is provided "as is" and "as available." It is not professional, legal, financial, medical, safety, compliance, or pastoral advice. You are responsible for reviewing output before relying on or acting on it, and for decisions made using it.
- How your data is used. Content you send to an AI feature is processed by our AI provider under contract terms that prohibit using it to train their models. We do not use your Customer Data, prompts, or AI output to train generative AI models. Details are in the Privacy Policy.
- Feedback. If you rate or comment on AI output, you grant us a perpetual, royalty-free license to use that feedback to evaluate, troubleshoot, and improve the Service.
- Restrictions. You may not use AI features to generate content that violates Section 4, or attempt to extract system prompts, models, or other people's data.
9. Content, monitoring, and copyright complaints
- No obligation to monitor; right to act. We are not obligated to monitor content in the Service, but we may use automated tools and human review to detect content that violates these Terms or the law, and we may remove or block such content, suspend the account or person involved, or disclose it where the law requires or to protect people or the Service. Member-facing content (for example prayer requests) may be screened automatically before the Customer publishes it.
- Copyright complaints. If you believe content in the Service infringes your copyright, send a notice to the contact in Section 23 that identifies the work, the location of the allegedly infringing material, your contact information, a statement of good-faith belief that the use is not authorized, and a statement under penalty of perjury that the notice is accurate and that you are the owner or authorized to act for the owner. We will respond in accordance with applicable law, which may include removing the material and notifying the account that posted it.
10. Third-party services and integrations
The Service can connect to third-party services you choose to enable, such as Planning Center Online (people, teams, and, where you elect, volunteer screening status synced from that platform), text-messaging providers, hardware control tools (for example Bitfocus Companion or Elgato Stream Deck plugins), and payment processing by Stripe. Your use of a third-party service is governed by its own terms and privacy policy; you authorize us to exchange data with it as needed for the integration you enable. Third-party services are provided by their owners "as is," and KnowCore is not responsible for their acts, omissions, availability, or data practices, or for changes they make that affect an integration.
11. Beta and preview features
We may offer features labeled beta, preview, pilot, early access, or similar. They may change, be withdrawn, or be unavailable at any time; may be less reliable than other features; and are provided "as is" without any warranty or support commitment. Do not rely on a beta feature for records you cannot afford to lose.
12. Subscriptions, trials, fees, and orders
- Trial. The Service is offered with a free trial as presented at sign-up (currently your first month free). At the end of the trial, continued use requires a paid subscription; if none is in place, we may suspend or limit access as described in "Suspension and member-facing access" below. If you subscribe during the trial, your card is not charged until the free period ends, and you are not granted a second free period.
- Suspension and member-facing access. When a subscription lapses — the trial ends without a paid subscription, or a payment remains unresolved — access to the administrative console (the admin app and its settings) may be suspended promptly. To avoid abruptly cutting off your congregation over a timing issue, your member-facing pages (your public landing/check-in page and member features) remain available for a limited grace period after that suspension — currently approximately fifteen (15) days — after which they may also be disabled until the subscription is restored. We may change the length of, or discontinue, this grace period; it is a courtesy and not a guarantee of continued access.
- Automatic renewal. Paid subscriptions renew automatically at the end of each billing period (monthly or annually, as selected) and your payment method is charged at the start of each period until you cancel as described in Section 13.
- Fees and billing. Fees, billing cycles, and any usage-based components (for example, AI usage or messaging beyond an included allowance) are as presented at sign-up, on the pricing page, or in an order. Payments are processed by Stripe; by subscribing you authorize the applicable charges. You are responsible for keeping a valid payment method on file. If your card issuer provides updated card details, we may use them.
- Upgrades and downgrades. Upgrades take effect immediately and are billed at the new rate from the next billing period (prorated where the checkout says so). Downgrades take effect at the next billing period; a downgrade may reduce features or capacity, and we are not responsible for content or functionality that becomes unavailable as a result.
- Refunds. Unless required by applicable law, fees are non-refundable, including for partial periods, unused time, and downgrades.
- No credits or proration after a billing cycle begins. To avoid being charged for the next billing period, you must cancel before that period's renewal date. Once a billing period has begun, the fee for that period is fully earned: if you cancel, downgrade, or stop using the Service during the period, we do not refund, credit, or prorate any portion of it, and your access simply continues until the period ends.
- Taxes. Fees exclude taxes. Where we are required to collect sales or similar tax, it is added to your invoice. If your organization is tax-exempt, send us a valid exemption certificate and we will apply it from the next billing period.
- Non-payment. If a payment fails, we will notify the account owner and retry. We may suspend access if payment remains outstanding after thirty (30) days, and may terminate the account for continued non-payment (Section 13).
- Price changes. We may change fees on at least thirty (30) days' notice by email to the account owner or posting in the Service, effective at your next renewal.
- Physical goods (tag orders). If you buy NFC tags or other physical goods from us, the price, shipping, and any return terms are stated at checkout. Risk of loss passes on delivery to the carrier. Defective goods will be replaced or refunded if reported within thirty (30) days of delivery.
- No donation or payment processing. The Service does not process donations, tuition, registration fees, or other payments between you and your members.
13. Term, cancellation, termination, and data
- Term. These Terms apply for as long as you have an account.
- How to cancel. The account owner may cancel the subscription at any time from Settings → Billing, and may permanently delete the account and all of its data from Settings → Danger Zone. Cancellation takes effect at the end of the current billing period; no further charges are made, and no refund, credit, or proration is given for the remainder of the period (Section 12). A cancellation made after a renewal date does not reverse the charge for the period that has already begun. An email or phone request is not a cancellation until we confirm it in writing.
- Termination by us. We may suspend or terminate access immediately for non-payment, material breach of these Terms, unlawful use, a security risk to the Service or other customers, or where required by law. We may terminate for convenience on thirty (30) days' written notice.
- Export. You can export your data from the Service while your account is active. We encourage you to export before cancelling.
- What happens to your data. If you delete your account from the Danger Zone, deletion begins immediately and is irreversible. If your subscription lapses or is cancelled without deleting the account, we keep your Customer Data for up to ninety (90) days so you can reactivate; after that we may delete it. Deleted data is purged from backups within the period stated in the Privacy Policy. We may retain limited records as required by law or for billing, security, or dispute resolution.
- Survival. Sections that by their nature should survive (including 5, 9, 14 through 18, 21, and 22) survive termination.
14. Intellectual property, feedback, and ideas
- Our property. The Service, including its software, design, text, graphics, logos, documentation, and trademarks, is owned by KnowCore or its licensors and is protected by copyright, trademark, and other laws. We grant you a limited, non-exclusive, non-transferable license to use the Service for the permitted purpose during the term. All rights not expressly granted are reserved. "KnowCore" and our logos may not be used without our written permission, except to identify that you use the Service.
- Third-party marks. Names and logos of third-party services belong to their owners.
- Feedback and ideas. If you send us suggestions, ideas, or feedback about the Service, you agree that they are not confidential, that we may use them freely without any obligation or compensation to you, and that you own or have the right to share them.
15. Confidentiality
Each party may receive confidential information from the other (for KnowCore, this includes your Customer Data and account details; for you, this includes non-public product information and pricing). The receiving party will protect it with reasonable care, use it only to perform under these Terms, and not disclose it except to people who need it for that purpose and are bound to keep it confidential, or where disclosure is required by law (with notice where permitted).
16. Warranties and disclaimer
The Service is provided "AS IS" and "AS AVAILABLE" without warranties of any kind, express or implied, including merchantability, fitness for a particular purpose, title, and non-infringement. We do not warrant that the Service will be uninterrupted, timely, secure, or error-free; that data will not be lost; that AI output or other content will be accurate, reliable, or complete; or that the Service will meet your requirements. You use the Service at your own risk. Some jurisdictions do not allow certain warranty exclusions, so parts of this section may not apply to you.
17. Limitation of liability
To the maximum extent permitted by law, neither party will be liable for any indirect, incidental, special, consequential, exemplary, or punitive damages, or for lost profits, revenue, goodwill, or data, arising out of or relating to the Service or these Terms, even if advised of the possibility. KnowCore's total aggregate liability arising out of or relating to the Service or these Terms will not exceed the greater of (a) the amounts you paid to KnowCore for the Service in the twelve (12) months before the event giving rise to the claim, or (b) one hundred U.S. dollars ($100). These limitations apply to all theories of liability and form an essential basis of the bargain between the parties.
18. Indemnification
You will defend, indemnify, and hold harmless KnowCore and its officers, members, employees, and agents from and against any third-party claims, damages, liabilities, costs, and expenses (including reasonable attorneys' fees) arising from: (a) your Customer Data; (b) your or your administrators' or members' use of the Service in violation of these Terms or applicable law; (c) messages you send through or in connection with the Service; (d) your failure to obtain any required member or parental/guardian consents; or (e) decisions made in reliance on AI output — except to the extent caused by KnowCore's own breach of these Terms.
19. Notices and electronic communications
By providing an email address, you agree that we may give you notices about the Service and these Terms, including legal notices, by email or by posting in the Service, instead of by mail. Keep the account owner's email current. You may opt out of non-essential product communications, but not of security, billing, or legal notices, while you have an account. Notices to KnowCore go to the contact in Section 23.
20. Changes to the Service or Terms
We may modify the Service, including adding, changing, or retiring features, temporarily or permanently. We may also modify these Terms. Material changes to these Terms will be posted with an updated date and, where appropriate, communicated to the account owner at least thirty (30) days before they take effect. Continued use after changes take effect constitutes acceptance; if you do not agree, cancel before then.
21. Governing law and disputes
- Governing law. These Terms are governed by the laws of the Commonwealth of Pennsylvania, without regard to its conflict-of-laws rules.
- Informal resolution first. Before filing a claim, the parties will attempt in good faith to resolve the dispute informally by contacting each other and allowing thirty (30) days for discussion.
- Venue and jury waiver. The parties submit to the exclusive jurisdiction of the state and federal courts located in Armstrong County, Pennsylvania, and each party waives any right to a jury trial.
- No class actions. To the extent permitted by law, each party may bring claims only in its own capacity and not as a plaintiff or class member in any class, consolidated, or representative proceeding.
- Time limit. Any claim arising out of or relating to these Terms or the Service must be filed within one (1) year after it arises, or it is permanently barred.
22. General
- Entire agreement. These Terms, the Privacy Policy, the DPA, and any order form are the entire agreement between the parties regarding the Service and supersede prior agreements on that subject.
- Severability; no waiver. If any provision is held unenforceable, the rest remains in effect. Our failure to enforce a provision is not a waiver.
- Assignment. Neither party may assign these Terms without the other's consent, except in connection with a merger, acquisition, or sale of substantially all assets. In addition, we may assign these Terms, without notice or consent, to a successor entity formed to carry on the KnowCore business (for example, a limited liability company); that entity then assumes our rights and obligations under these Terms, and references to "KnowCore," "we," and "us" include it.
- International use. We operate from the United States and make no representation that the Service is appropriate or lawful outside the United States. If you use it elsewhere, you are responsible for compliance with local law, including data-transfer rules. You may not use the Service where prohibited by U.S. export or sanctions law.
- Force majeure. Neither party is liable for delay or failure caused by events beyond its reasonable control.
- Records. A printed or electronic copy of these Terms and of any notice given electronically is admissible to the same extent as other business records.
- No third-party beneficiaries. Except as stated for members in Section 1, these Terms create no rights in anyone other than the parties.
